Using Your Circool Pass for a School Event

Your Circool Pass can help you RSVP and check in faster at school events.

Depending on your school’s event setup, you may use Circool to RSVP, invite family or friends, and show your Circool Pass when you arrive.


When to use this

Use this article if your school invited you to a school event through Circool or asked you to use your Circool Pass for event check-in.


RSVP to a school event

If your school sends a Circool event invitation, you may receive it by email, text message, or another school communication tool.

  1. Open the Circool event link from the email or text message you received.
  2. Review the event name, date, time, and location.
  3. Choose your RSVP response, such as Yes, No, or Maybe, if those options are available.
  4. Follow any additional instructions from your school.

Use Circool to enter a school event

When you arrive at the school event, staff may ask to scan your Circool Pass.

  1. Open Circool on your phone.
  2. Show your Circool Pass to the staff member checking in guests.
  3. The staff member will scan your Circool QR code.
  4. Follow any event instructions from your school.

Your school may also print a badge or use Circool to confirm that you are checked in for the event.


Invite family and friends to an event

Some schools may allow you to invite family members or friends to attend a school event with you.

If this option is available, you may be able to add guests from the event page in Circool.

  1. Open the event in Circool.
  2. Click Invite a family/friend.
  3. Select the family/friend from the list or add someone new from My Cirool.
  4. Share the invite by clicking "Share Invite".  This will allow you to text them their account info.

Important: Guest options may depend on your school’s event settings. Some events may only allow invited parents or guardians to attend.



What to do if you do not see your event

If you do not see your event in Circool, try these steps:

  • Check the email or text message where your school sent the event invitation.
  • Make sure you are opening Circool with the email address or phone number your school has on file.
  • Search your email for Circool or the event name.
  • Contact Circool support if you need help opening your event link.

Good to know: Some schools send event invitations only to certain groups or grade levels. If you are unsure, your school can confirm whether you were included.


Why your school uses Circool for events

School events are an easy way for an unwelcomed guest to blend in with a crowd and access a school.  Using Circool ensures that does not happen, while making it easy for parents and guests to enter the school.


What happens next

After you RSVP, follow any instructions from your school about arrival time, parking, entry location, or guest check-in.

When you arrive, have your Circool Pass ready so school staff can scan your Circool QR code if needed.

  • 1 Check your email and texts: Your school may send event links through email, SMS, or another school message.
  • 2 Have your Circool Pass ready: Opening Circool before you walk in can make event check-in faster.
  • 3 Bring your ID: Your school may still ask to see a photo ID at the event.
  • 4 Update your RSVP if plans change: This helps your school plan for the event.
  • 5 Follow school instructions: Each school may use Circool a little differently for events.
